This position combines project management and technical subject matter expertise to drive new ways of working projects across the Germany, Switzerland & Austria (GSA) organization. Being a key team member for planning / projects and an advocate for change across the site portfolios leading to more efficient/effective of work configurations, energy utilization and innovative solutions for the changing business needs and priorities.

The position holder supports RE Head on strategic, long- term decision-making and project prioritization across GSA and will be key to accomplish the realization of new ways of working with a strong focus on our Frankfurt site (Industriepark Höchst)

Main responsibilities

Project Management

  • Coordinate the planning and design of the selected office spaces according to the new workplace strategy.
  • Review the projected fit out costs and timeline estimations.
  • Provide advice and support to ensure that the project goals are achieved.
  • Take ownership of project delivery. Manage the entire project process and accompany all phases of the project actively, including negotiation, design, fit out works and change management.
  • Review and implement SANOFI’s charters and Facility Management Policies: Control and validation of test fits (functional, technical implications, administrative / regulatory), ensure that workplace and sustainable charters and Facility Management policies are respected.
  • Prepare and organize communication to target audience across the organization.
  • Single Point of Contact for the external project members regarding all project matters and technical requirements to efficiently / effectively assign projects to match workload, locations, expertise, timing and critical project outcomes. 
  • Implement projects; coordinate / deploy resources in a flexible manner by leveraging available (external) resources / expertise to the business needs

Budget & Schedule

  • Ensure budget-consistency: manage and monitor the RE budget both OPEX and CAPEX in the context of the IFRS 16, with the support of Finance and Account to Report.
  • Control project budget including soft and hard costs (consultant fees, construction works, IT equipment, audiovisual equipment, insurance, furniture, moves etc.) and project schedule identifying key milestones, being available to anticipate potential risk.
  • Prepare the annual budget exercise.
  • Provide technical leadership in advocating for Leadership in Energy & Environmental Design requirements while optimizing costs, operational and value considerations.

Lease management

  • Contribution to implement Real Estate footprint optimization for all sites in GSA.
  • Support all lease / sub leases negotiations across the office portfolio in terms of fit out description and technical requirements.
  • Ensure policy-consistency in all areas of the RE topics for GSA.

Challenges

  • High visibility and exposure of position and the projects that are being executed (from executive level to all employees working on site).
  • Complex environment due to high number and diversity of employees / external partners impacted as well as various stakeholders to be orchestered in the different functions (Manufacturing & Supply, R&D, Corporate functions, Global Business Units and innovation hubs) being in line with pharma specific regulations (e.g. FDA).
  • Close interactions with works council as well as senior Leaders of Core-Team from Digital, Facility Management, Human Resources, HSE, Procurement & business representatives.
  • High number of external partners with different expertise involved.
  • Applies for all sites to be managed (Germany: Berlin, Frankfurt = Industriepark Höchst; Austria: Vienna & Origimm; Switzerland: Vernier, Rotkreuz).

About you

Education and professional Experience

  • University degree (+10 years of business experience) or in case of an undergraduate degree, additional equivalent work experience is required.
  • Architectural or engineering background would be of advantage.

  • Managing projects and diverse teams of subject-matter experts, close interaction with executive level management and stakeholders to influence strategic decision-making and support long term business needs and priorities.
  • Leadership / management of financial elements on project specific budgets.
  • Ability to motivate others through an influencing style and positive outlook.
  • Strong analytical ability and experience with strategic planning processes and procedures. Innovativeness / creativity.
  • Proven track record of similar & complex projects.
  • Very good team player & excellent communicator to all levels of the organization.
  • Proactive and results-oriented mind set with hands on mentality.
  • Be able to think out of the box and be solutions-oriented in problem-solving in a team-oriented manner.
  • Be accurate, numerate and well-organized.
